Is a deposit required to book the facility?
A 50% deposit is due upon signing of your contract in order to reserve your date. This deposit is applied toward the balance of the rental fee.
May I bring my own caterer and/or food to the facility?
Yes, you are responsible for providing your own caterer. Food may be stored in the prep area.
How will the tables be decorated?
The Avion Center has black and white linens available either included in your package or available to rent for a nominal fee. You are responsible to bring your own decor, centerpieces etc.
How early may I come and decorate?
You are required to contact the Meeting & Events Specialist at least (2) weeks before your event date to make arrangements for floor setup, decorating times, as well as to review any additional details. Depending on your event type, you will have 30 or 60 minutes included in your rental fee to set up and remove your decor items. Additional set-up time is available on a case-by-case basis for $100/hour.
What if I need to cancel?
We understand, sometimes life happens and it becomes necessary to cancel your event after the contract is signed. With 46 or more days of written notice to Avion Center, the Lessee will receive a full refund of deposits made. If notice is given 31-45 days from your event, you will receive a 50% refund of your deposit. If notice is given 30 days or less from your event date, no refund will be given.
How late can I have my event?
Your event will need to conclude no later than 11:00 p.m. to begin cleanup. The facility must be cleaned and vacated no later than midnight.
I want alcohol available to my guests, how does that work?
All alcohol arrangements must be made in advance through an approved bartending service. Kegs are NOT permitted. A signed copy of the bartender service agreement must be provided along with the certificate of insurance naming the Avion Center as the on-site venue. These documents must be provided no later than one week before the event date.
My guests will conduct themselves in an orderly fashion, we won’t need security.
The Avion Center requires security for all underage events (ie: proms), and events that are serving alcohol. It will be at the discretion of the management which additional events require security services. Avion Center will book security services on your behalf, provided by the Arizona Rangers, at an additional fee. Fees depend on guest count and number of hours of event time.
